Steering Committee Officer Elections and Workgroup Selections for 2026

FROM THE BYLAWS:

Section 7.‍ ‍Officer and Member Duties: Each Officer and Member-at-Large shallshall have one (1) vote in all decisions and considerations in front of the Steering Committee.

(a) Chair – Serves as the primary leader and representative of the Coalition, guiding its mission and promoting collaboration. Key responsibilities include:

  • a. Leadership and Strategic Direction: Guides Coalition vision, priorities, and long-term goals. Facilitates alignment with state and national falls prevention initiatives.

  • b. Meeting Facilitation and Oversight: Presides over Coalition meetings, including setting content and agenda in collaboration with the Speaker Coordinator and the Secretary.

  • c. Communication and Representation: Serves as primary contact for external communications and partnerships and represent Coalition in local, regional, and state entities.

  • d. Governance: Coordinates with Steering Committee and workgroup leads to ensure alignment with goals and timelines. Oversee periodic review of guiding documents.

  • e. Sustainability: Identifies opportunities for funding, partnerships, and resource sharing.

(c) Secretary – Plays a vital administrative and organizational role in supporting the coalition’s mission to reduce falls and fall-related injuries among older adults in Oregon. Ensures accurate documentation of coalition activities, facilitates communication among members, and supports the coordination of meetings and initiatives. Key Responsibilities include:

  • a. Meeting Coordination & Documentation

    i. Schedules and organizes monthly membership meetings and steering committee meetings.

    ii. Prepares and distributes agendas in collaboration with the Chair and Co-Chair.

    iii. Records and maintains accurate minutes of all meetings including attendance.

    iv. Distributes meeting minutes and educational materials to coalition members in a timely fashion.

  • b. Communication & Correspondence .

    i. Serves as the primary point of contact for coalition-wide communications.

    ii. Disseminates meeting notes, updates, and announcements to members.

    iii. Maintains and updates coalition contact lists and distribution groups.

  • c. Record Keeping & Reporting i. Maintains organized records of coalition documents and materials in conjunction with the Chair. ii. Other duties assigned by the Chair.

  • d. Support Coalition Initiatives i. Collaborates with workgroups (e.g., Strategic Plan, Membership, Marketing & Outreach) to support documentation and coordination. (d)

(d) Treasurer – Serves as a key member of the Oregon Falls Prevention Coalition’s leadership team, responsible for overseeing the financial affairs of the coalition in accordance with its mission to reduce falls and fall-related injuries across Oregon. Ensures transparency, accountability, and sound financial management practices. Key Responsibilities include:

  • a. Financial Oversight & Management

    i. Maintains accurate and up-to-date financial records for the coalition.

    ii. Monitors income and expenditures, ensuring alignment with the coalition’s budget and strategic goals.

    iii. Prepares and presents regular financial reports to the coalition leadership and members.

  • b. Budgeting & Planning

    i. Collaborates with the Chair and other officers to develop the annual budget.

    ii. Provides financial input for grant applications, fundraising initiatives, and program planning.

  • c. Compliance & Reporting

    i. Ensures compliance with applicable state and federal nonprofit financial regulations.

    ii. Files necessary financial documents, including annual reports and tax filings (if applicable).

    iii. Support audit or financial review processes as needed.

  • d. Banking & Transactions

    i. Manages coalition bank accounts and authorize payments and reimbursements.

    ii. Tracks donations, grants, and other sources of funding.

  • e. Support & Collaboration

    i. Works closely with the coalition’s leadership team to ensure financial sustainability.

  • f. Assist with fundraising efforts and donor stewardship by providing financial insights.

(e) Speaker Coordinator – Direct the Evidence Based Fall Prevention Programming Workgroup and select speakers for the Monthly Membership Meetings. This is a one-year interim appointment to fill an unexpected vacancy.

(f) Members-at-Large – Represent the Coalition Membership in the Steering Committee.
